When our AI receptionist handles calls on your behalf, we collect call recordings, transcriptions, caller phone numbers, call duration, and any information the caller provides (such as name, service request, and appointment preferences).

Usage Data

We automatically collect information about how you interact with our service, including IP address, browser type, pages visited, time spent, and referring URLs.

Integration Data

If you connect third-party services (e.g., Cal.com, ServiceTitan, Jobber), we access only the data necessary to provide the integration functionality, such as calendar availability and customer records.

  • Answer calls and book appointments on your behalf
  • Generate call transcriptions and summaries

5. SMS, Phone Numbers, and Opt-In Data

No mobile information, phone numbers, or SMS opt-in data will be shared, sold, rented, leased, or otherwise disclosed to third parties or affiliates for their marketing or promotional purposes. This applies under any and all circumstances.

Opt-in records and consent data are not shared with any third party for marketing purposes. Phone numbers are excluded from any data sharing described elsewhere in this policy when that sharing would relate to marketing, advertising, or promotion by another party.

How phone numbers and SMS data are used

  • To send you the SMS messages you specifically opted in to receive — call notifications, appointment confirmations, account alerts, and transactional messages related to your PickupBell account.
  • To answer inbound calls on your behalf and route call summaries back to you.
  • To comply with carrier and regulatory requirements (CTIA, TCPA, TCR).

Service providers

We use SMS infrastructure providers (such as Twilio) to deliver messages. These providers process phone numbers and message content only as needed to deliver the service on our behalf and are contractually prohibited from using your phone number for their own marketing.

Message frequency, rates, and opt-out

  • Message frequency varies based on your call volume and account activity.
  • Message and data rates may apply from your wireless carrier.
  • Reply STOP to any SMS message to unsubscribe from further messages at any time. Reply HELP for help, or contact support@pickupbell.com.
  • Consent to receive SMS messages is not a condition of any purchase.

You can request access to or deletion of your SMS opt-in records, consent history, or phone-number data at any time by emailing privacy@pickupbell.com.

6. Data Security

We implement industry-standard security measures to protect your data, including encryption in transit (TLS) and at rest, access controls, and regular security audits. However, no method of electronic transmission or storage is 100% secure.

7. Data Retention

We retain your account data for as long as your account is active. Call recordings and transcriptions are retained for 90 days by default, after which they are automatically deleted. You can request earlier deletion at any time.

When you cancel your account, we delete your data within 30 days, except where retention is required by law.

Depending on your jurisdiction, you may have the right to:
